Vortex Rehab and Performance – Terms and Conditions

1. General

By booking and attending an appointment with Vortex Rehab and Performance (“Vortex”), you agree to the following Terms and Conditions. These terms are consistent with the professional standards set by the Chartered Society of Physiotherapy (CSP) and relevant UK healthcare and data protection legislation.

2. Professional Standards

All physiotherapists at Vortex are registered with the Health and Care Professions Council (HCPC) and are members of the CSP. All assessments and treatments are carried out in line with CSP standards of practice, evidence-based care, and ethical conduct.

3. Bookings

Appointments may be made online, by phone, or in person. Once a booking is confirmed, you will receive an appointment confirmation via email or text. It is your responsibility to ensure contact details are accurate and up to date.

4. Cancellations and Missed Appointments

We respectfully request a minimum of 24 hours’ notice for cancellations or rescheduling.

  • Appointments cancelled with less than 24 hours’ notice or unattended without notice will incur a late cancellation fee equal to 50% of the session cost.

  • Missed appointments without prior notice may result in prepayment being required for future bookings.
    This policy ensures fairness to both clients and clinicians and allows us to maintain availability for those in need of treatment.

5. Payment

Payment is due at the time of your appointment unless otherwise agreed. Accepted payment methods include debit/credit card and other methods as specified by Vortex. Any outstanding balances must be cleared before further appointments are scheduled.

6. Confidentiality and GDPR Compliance

Vortex Rehab and Performance is committed to protecting your personal and medical information in accordance with the UK General Data Protection Regulation (GDPR) and Data Protection Act 2018.

  • All client data is stored securely and accessed only by authorised staff involved in your care.

  • Your information will not be shared with third parties without your explicit consent, except where required by law or to safeguard your wellbeing.

  • You have the right to access, amend, or request deletion of your personal data, subject to legal and clinical record-keeping requirements.

7. Information Sharing with Other Clinicians

With your consent, relevant clinical information may be shared with other healthcare professionals—such as GPs, consultants, or allied health practitioners—to support continuity and quality of care. Information will only be shared on a need-to-know basis and in compliance with CSP standards and GDPR.

8. Health and Safety

Clients are responsible for providing accurate and up-to-date medical information prior to assessment or treatment. Vortex clinicians reserve the right to modify or decline treatment if it is deemed clinically inappropriate or unsafe.

9. Liability

All services are delivered with due professional care and diligence. However, Vortex Rehab and Performance is not liable for any adverse outcomes arising from undisclosed medical conditions, non-adherence to clinical advice, or actions outside the scope of treatment.

10. Policy Updates

Vortex Rehab and Performance reserves the right to amend these Terms and Conditions periodically to reflect changes in professional, legal, or operational standards. The most current version will be displayed in the clinic and on our website.
